# How to manage employee permissions (desktop)

In this article, you will learn how to use the partner Zoyya web application on a computer to determine which parts of the application and actions can be used by employees of a particular role. Permissions are edited separately for each location, and the change is applied to all employees who use the selected role in that location.

**PLATFORM_SWITCH:** [Desktop](https://help.zoyya.com/en/article/how-to-manage-employee-permissions-desktop-tms7yl/) · [Mobile](https://help.zoyya.com/en/article/how-to-manage-employee-permissions-mobile-19l66db/)

## Before you start

* You must have permission to manage permissions to open this screen.
* The employee must be assigned the appropriate role. Adding an employee and selecting a role are described in the article [How to add an employee (computer)](https://help.zoyya.com/en/article/how-to-add-an-employee-desktop-1qhlj4v/).

## What do roles mean?

* **Owner** has full permissions. Owner permissions are locked and cannot be turned off.
* **Administrator** is intended for people who manage the location, settings and daily work. Its permissions can be customized.
* **User** is intended for employees who need access to daily activities. Include only the areas and actions they need to use.
* **Custom** is a separate role for employees who need a different set of permissions than users and administrators.

If only one employee needs special access, it is recommended to edit the **Custom** role permissions and then assign that role to that employee. Before doing so, make sure that the **Customer** role is not used by someone else, because the change applies to all employees of that role.

## Work steps

1. Open **Settings > Workers & Resources > Permissions**.
2. Find the area you want to edit.
3. Click an area name to display related actions.
4. In the line of the desired action, find the column of the role you are editing.
5. Turn the field on when you want to allow that role to take action, or turn it off when you want to deny access.
6. Repeat the process for other actions and roles.
7. Click **Save**.

## Permission Areas

Actions are arranged in the areas **Calendar**, **Clients**, **Location**, **Organization**, **Reports**, **Cash register**, **Warehouse**, **Loyalty program**, **Memberships**, **Permissions** and **Companies**. Open an area to see which actions can be allowed or restricted.

Under **Memberships**, the permission **Produljivanje članarina** (Renew memberships) determines which roles can manually renew or reactivate a membership. It is enabled by default for **Owner** and **Administrator**, and disabled for **User** and **Custom** roles. It does not govern memberships purchased or renewed by clients themselves.

Off permission hides the linked screen or disables a specific action. Permissions to display the client's phone and e-mail address determine whether this contact information is displayed to the employee.

## Important

|| The change applies to all employees who have the selected role in the current location. Permissions are not set directly for an individual employee.

| Owner permissions and permission to access your own calendar are locked and cannot be turned off.

| Permissions are arranged separately for each location. The same role can therefore have different permissions in another location.

## Frequently asked questions

#### How to set special permissions for only one employee?

Edit the permissions of the **Custom** role, then open that employee's details and select **Custom** in the **Authorisation** field. This procedure is intended for individual access only when no other employee is using the same role.

#### What happens if more than one employee uses the Custom role?

All employees with this role receive the same set of permissions in the selected location.

#### Why can't I change some fields?

The **Owner** role fields and access to own calendar are locked.

#### Why can't I see the Permissions screen?

Your role is not allowed to manage permissions. Contact the owner or administrator who has access to that screen.
