# How to connect an Outlook calendar to Zoyya (mobile)

This article explains how to connect an Outlook calendar to an employee in Zoyya using the Zoyya partner web app on mobile. Events from Outlook are imported into Zoyya and block the selected employee’s time.

## Before you start

To connect the calendar, you need an **ICS subscription link to a published Outlook calendar**. This is not a one-time downloaded `.ics` file or an HTML link for viewing the calendar in a browser. If you use a work or school Microsoft 365 account, your administrator may restrict calendar publishing.

The employee must already be saved in Zoyya, and you need permission to edit employees and resources to access the **Calendar sync** tab. The feature must be enabled for your branch.

|| Important: Anyone who has the published ICS link can access it within the permissions you set. Choose the lowest level of detail you need, and do not publish the link, send it to other people, or include it in screenshots.

## Find the ICS link in Outlook

1. In a mobile web browser, open [Outlook.com Calendar](https://outlook.live.com/calendar/) or [Microsoft 365 Outlook](https://outlook.office.com/calendar/) and sign in to your account.
2. If necessary, request the **desktop version of the website** in your browser. In Safari, open the page menu; in Chrome, open the three-dot menu and select **Desktop site**.
3. In the web interface, open **Settings > Calendar > Shared calendars**.
4. Under **Publish a calendar**, select the calendar and level of detail, then tap **Publish**.
5. Copy the link marked **ICS**, not **HTML**.

If the mobile browser does not show **Publish a calendar**, get the ICS link on a computer. You can then finish adding the source in Zoyya on mobile.

## Connect the calendar to Zoyya

1. Open the **Main menu** in the Zoyya partner web app on mobile.
2. Under **Business**, tap **Settings**.
3. Open **Employees and resources > Employees**.
4. Select the employee whose Outlook calendar you want to connect.
5. Open the **Calendar sync** tab and tap **Add import source**.
6. In **Name**, enter a recognizable name, for example **Outlook / Microsoft 365 – Ana**.
7. Select **Outlook / Microsoft 365** under **Provider**.
8. Paste the prepared ICS/iCal link into **ICS URL**.
9. If you wish, select a **Color** and make sure **Enabled** is on.
10. Tap **Preview** to check whether Zoyya recognizes the expected events. Preview does not import appointments.
11. Close the preview and tap **Add**.
12. Tap **Sync now** on the saved source to start importing immediately.
13. Check **Last successful sync** and the number of **Processed events**, then check the employee’s calendar.

After connecting the calendar, Zoyya continues to check the source periodically. You do not need to start every sync manually.

## How syncing works

This source syncs in **one direction: Outlook / Microsoft 365 → Zoyya**. Create and edit appointments in Outlook, and Zoyya periodically imports them as busy time for the employee. Appointments created in Zoyya are not sent to Outlook through this source. The separate **ICS export** option allows you to subscribe to Zoyya appointments in an external calendar when it is enabled.

If several employees use separate calendars, repeat the procedure on each employee’s profile and use their corresponding link.

## Check or update the connected calendar

On the **Calendar sync** tab, you can tap **Sync now** to import manually or **Edit** to change the source settings. If you are the calendar owner, you can open **Preview** for a saved source and check the events. Other authorized users can check the dates of the last sync attempt and last successful sync.

The ICS link is no longer displayed after it is saved. If it changes, tap **Edit**, paste the new link into **New ICS URL (leave empty to keep saved URL)**, and tap **Save**.

## Remove the connected source

1. On the **Calendar sync** tab, Find the relevant source and tap **Delete**.
2. Choose **Keep future imported appointments** or **Cancel future imported appointments**, depending on whether you want to keep future appointments that have already been imported.
3. Confirm by tapping **Delete source**. Past appointments are not changed.

## If syncing does not work

If you cannot find **Publish a calendar**, check whether you have permission to publish calendars and, for a work Microsoft 365 account, contact your administrator. If Zoyya rejects the link because the provider is not allowed, contact Zoyya Support and provide the link’s **domain**, but do not send its full secret contents.

Check that **Outlook / Microsoft 365** is selected as the provider, that the source is marked **Active**, and that the last sync was successful. If the issue persists, provide Zoyya Support with the branch, employee, source name, displayed status, and time of the last attempt. Do not send the full private ICS link.
